Org. Setting and Reporting

Created in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary-General for Disaster Risk Reduction (SRSG), UNDRR has over 100 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyses action and increases global awareness to reduce disaster risk working with U.N. Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians and the science and technology community.

The position is part of the Administrative Management Unit, in the Resource Planning and Management Section of the United Nations Office for Disaster Risk Reduction in Geneva, Switzerland. The position reports to the Associate Administrative Officer, under the overall supervision of the Chief of the Resource Planning and Management Section.

 

Responsibilities

Under the supervision of the Associate Administrative Officer, as part of the Administrative Management Unit, the incumbent:

General User Support
• Prepares and directs requests for the creation, updating and cancellation of user accounts, Umoja role mapping, individual email accounts and email distribution lists to the UNOG and UNICC helpdesks, including automation of related workflows through MS PowerApps and Power Automate, and maintains associated contact/inventory lists in coordination with the Human Resources and Administrative Management Units;
• Provides guidance and advice to users of the UNOG mobile phone request application, tracks UNDRR mobile phone stock and keeps up-to-date mobile phones inventory and organizational phone tree;
• Maintains an inventory of UNDRR software and SaaS licenses, domain names, SSL certificates and other IT artifacts and facilitates their timely renewal, replacement and/or write-offs;
• Installs computer application systems software and hardware according to specifications; monitors computer applications systems using appropriate monitoring tools and produces monitoring reports;
• Provides support for deployed computer application systems including version management, data recovery and deployment to users’ offices; performs ongoing reviews with users and developers and responds to user requests.

Individual User Support
• Acts as focal point and first line IT support and liaison with UNOG helpdesk and UNICC helpdesk for the UNDRR Geneva office to diagnose and resolve any hardware, software, audio and video conferencing systems or connectivity problem with minimum delay.
• For offices away from Geneva, liaises with the teams for trouble shooting communications and IT related issues.

Asset Management
• Performs installation/de-installation, configuration and testing of IT equipment (laptops, monitors, docking stations, webcams, etc.);
• Hands out, replaces and receives IT equipment for UNDRR staff in Geneva and selected offices away from Geneva, including set up of physical workstations, shipment of IT equipment by Diplomatic Pouch and DHL, and unpacking and inspection of all incoming assets;
• Stores and maintains the physical inventory of IT equipment in a secure location and maintains asset records in the automated inventory management system;
• Determines IT equipment needs, raises related expenditure requests and prepares write-offs of IT equipment in coordination with the Associate Administrative Officer;
• Performs other duties as assigned.

Education

High school diploma or equivalent is required.

 

Work Experience

A minimum of three (3) years of progressively responsible experience in the field of information technology, information systems or other related area is required.
Experience in the use of office automation tools is desirable.
IT service management and trouble-shooting experience is desirable.
Experience in IT equipment inventory management, including needs assessment, disposal and write-off, is desirable.
Experience within the UN common system is desirable.

 

Languages

English and French are the working languages of the United Nations Secretariat. For this position, fluency in English is required. Knowledge of French is desirable. Knowledge of another UN official language is an advantage.

 

Assessment

Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.

 

Special Notice
